Position Summary
The Senior Philanthropy Services Coordinator supervises the core administrative and service functions within the Philanthropy business, including CRM and database, gift administration, financial processes and event coordination.
The Senior Philanthropy Services Coordinator takes a lead role in supporting the front-line fundraising team with systems and processes to provide an exemplary donor experience and achieve fundraising goals.
This position is based in Melbourne and some out-of-hour work may be required around performances and events.

Duties and Responsibilities
Reporting, analytics and database
• With the Head of Philanthropy, develop and share reporting to measure the performance of all philanthropic campaigns, activities and trends
• As the in-house Tessitura ‘super user’, oversee data governance and best practice use of the system within the Philanthropy Team, including website integration
• Set up and maintain a systems framework for Moves Management in Tessitura to support the team’s fundraising goals
• Utilise and develop Tessitura Analytics to support data-driven fundraising
• Perform and oversee all database list-pulling for communications and reporting
• Support the Team to maximise their knowledge and use of Tessitura to assist their day-to-day fundraising activities
• In liaison with key departments, maintain Philanthropy business unit ownership of all applications used to support fundraising including Donate2, Acoustic, TNEW and DIESE
Philanthropy business services
• Act as key liaison with the Finance Department to ensure accurate financial reconciliation of Tessitura and Finance systems
• Oversee all invoice coding
• Act as key liaison with the Customer Experience Team to ensure processes, information and ticket requests are streamlined between the two teams
• Liaise with the Marketing Team for design briefs, in coordination with the Communications and Content Specialist, Philanthropy
• Facilitate dress rehearsal ticketing requirements
• Supervise and be accountable for all internal financial processes including donations processing and banking
• Maintain Philanthropy Opening Night VIP lists in Tessitura in liaison with the Philanthropy Director and Head of Philanthropy
• Oversee the accuracy of all donor acknowledgements across all materials and portals
• Identify opportunities to streamline and improve systems and processes to improve the staff and donor experience
• Maintain the Communications Schedule, ensuring all communications are planned in a timely manner
Knowledge, Skills and Abilities
• Administrative and event management experience
• 2 years’ experience and knowledge of philanthropy
• Strong interpersonal and communication skills
• Ability to build strong relationships with internal and external stakeholders
• Ability to use discretion and ensure confidentiality as required
• Strong computer skills – MS Office Suits, internet, graphics
• Proven planning, organisation and time management skills
• Strong ability to prioritise and meet deadlines
• Knowledge of the arts industry and interest in dance is desirable
• Strong attention to detail and accuracy
