The Role
This is a standalone role accountable for the overall payroll function for both The Australian Ballet and Orchestra Victoria separate fortnightly payrolls, which are covered by three (3) enterprise agreements and various awards.
The role is responsible for the timely and accurate processing, reconciliation and payment of payroll, superannuation, employment related taxation, royalties and salary packaging for all staff, contractors and guest artists.
The payroll function comprises all aspects of payroll administration: payment of salaries, wages, allowances, and terminations covered, as well as work cover return administration and liaison with appropriate authorities.
Key Responsibilities:
Payroll Management:
- Accurately process salaries, payslips, and reports for 350+ employees, ensuring data is maintained and updated.
- Collect, calculate, and enter payroll information, including earnings, taxes, deductions, leave entitlements, and non-taxable wages.
- Ensure all payroll reports reconcile before salary payments are transmitted to the bank.
- Submit necessary paperwork for group tax, WorkCover premiums, MEAA union dues, and superannuation payments.
- Ensure the correct tax treatment and appropriate documentation for guest artists' payments.
- Maintain and update accurate leave records, including personal, annual, and long-service leave.
- File payroll information in a timely and accessible manner.
- Prepare and lodge annual payment summaries in line with ATO requirements and submit STP lodgements for each pay run and employee termination.
- Prepare and submit annual reconciliation of payment summaries to the ATO, ensuring accurate reflection of all salaries and allowances paid.
- Assist with WorkCover returns for Victoria and NSW.
- Clear payroll-related general ledger (GL) accounts and ensure balances match the Finance One payroll reports.
- Liaise with the ATO and other relevant authorities as required.
Superannuation Administration:
- Ensure SGL and Salary Sacrifice deductions comply with current legislative requirements.
- Prepare and submit monthly superannuation reports to the Accounts Payable Administrator for timely payments to super funds.
- Submit employee superannuation contributions to Quicksuper each month.
- Ensure all employees are registered with a complying superannuation fund and manage any superannuation-related queries.
- Manage superannuation contributions for non-resident guest artists, ensuring timely and accurate reporting.
Financial Reconciliation and Reporting:
- Assist with the preparation of the Provision for Long Service Leave and Provision for Annual Leave for budget and forecast reporting.
- Prepare monthly journals for workers’ compensation, reallocations, and other adjustments as necessary.
- Ensure accurate reconciliation of payroll-related GL accounts and balances match to Finance One payroll reports.
- Liaise with the ATO and other authorities on payroll compliance matters.
- Support audit requirements and ensure payroll records are audit-ready.
Collaboration and HR Support:
- Work closely with HR to ensure payroll is processed accurately for all employees and resolve payroll-related issues.
- Provide payroll data and advice to management, supporting decision-making on payroll-related matters.
- Ensure employee details (e.g., tax, bank information) are updated promptly and in accordance with company policies.
Legislative Compliance:
- Stay informed of changes in legislation impacting payroll and superannuation, including the Live Performance Award, other Awards, and EBAs.
- Regularly brief the CFO on any legislative updates and implement necessary changes to maintain compliance.
- Ensure the organisation adheres to all legal requirements for payroll, taxation, and superannuation.
Qualifications & Experience:
- Tertiary qualifications in Finance, Business, or a related field, with a payroll specialisation, are preferred. Alternatively, relevant experience will be considered.
- At least 5 years’ experience managing a complex payroll, including full-time, part-time, casual, contractor, and guest artist categories.
- Expertise in Finance One Payroll or similar payroll systems.
- Knowledge of salary packaging, taxation, and interpreting employment-related legislative changes.
- Proven experience with interpreting Certified Agreements, Awards, and Enterprise Bargaining Agreements (EBAs).
- Experience managing superannuation contributions, including SGL and salary sacrifice.
